# Hourvy > Hourvy is a web-based employee time clock, scheduling and payroll-hours app for small businesses with hourly workers (cafes, restaurants, retail, salons, cleaning, landscaping, construction and convenience stores). Workers clock in from their own phone or a shared tablet kiosk; Hourvy calculates hours, overtime, tips and gross pay, and owners record how they paid. Pricing is per active seat per month with no base fee: $1 per seat (founding rate, locked in for life for the first 50 businesses; standard rate $2). 30-day free trial, no credit card required. ## Key facts - Website: https://hourvy.com/ - What it is: time tracking + scheduling + payroll calculation for hourly teams, in one app - Who it's for: owners and managers of small businesses with hourly staff - Price: $1 per active seat per month (each worker, manager and the owner is a seat). No base fee, no minimum, no per-location fee, no add-ons. Workers never pay. - Free trial: 30 days, no credit card required. The account pauses if no payment method is added; it is never charged automatically. - Works on: any modern phone, tablet or computer browser (iPhone, Android, Windows, macOS). No app download or hardware needed; it can be added to the home screen. - Currencies: USD, EUR, GBP, CAD, AUD, NZD, INR, ZAR, MXN, PHP. Timezone, overtime, break and rest rules are set by the business. - What Hourvy does NOT do: it does not move money, run direct deposit, or calculate or file payroll taxes. It calculates gross pay and exports it (Gusto CSV import; CSV for QuickBooks, Xero, ADP and others; PDF). - Optional features are off by default and switched on per business in Settings, at no extra cost. ## Features ### Track time: Clock in from a phone or a shared tablet, check the location, and catch missed breaks. - [Mobile time clock](https://hourvy.com/features/time-clock-app): Hourvy's mobile time clock lets hourly workers clock in, clock out and record unpaid breaks from any smartphone browser. Owners see everyone currently clocked in, with their pay so far, on a dashboard that refreshes every minute. Workers who forget to clock out get an email reminder, and shifts left open longer than your maximum shift length close automatically. - [GPS location check](https://hourvy.com/features/gps-time-clock) (optional, included): Hourvy's location check (geofencing) compares a worker's phone location with your saved work locations at the moment they clock in or out. You set a radius for each site; 150 m suits most shops. Clock-ins away from work can be allowed but flagged with the distance, or blocked until the worker arrives. Hourvy reads the location only at clock-in and clock-out and never tracks workers in between. - [Kiosk time clock](https://hourvy.com/features/kiosk-time-clock) (optional, included): Hourvy's kiosk mode turns any tablet into a shared time clock. Each worker taps their name and enters a 4 to 6 digit PIN to clock in, start or end a break, or clock out. The tablet can take a photo at every clock-in and clock-out, which owners can view on the Time Logs page. Photos are deleted after 90 days. A Kiosk only setting turns off phone clock-in completely. - [Break & rest rules](https://hourvy.com/features/break-compliance) (optional, included): Hourvy's break and rest rules let you set a minimum break for long shifts (for example 30 minutes on shifts longer than 5 hours) and a minimum rest period between shifts (for example 10 hours). Shifts that break a rule get a badge on Time Logs, planned shifts with too little rest are flagged on the schedule before you publish, and you get an email alert plus a count in your weekly summary. Hourvy flags breaches but never changes pay. ### Plan the week: Drag-and-drop scheduling, open shifts, swaps and time off, all in one place. - [Employee scheduling](https://hourvy.com/features/employee-scheduling) (optional, included): Hourvy's week-by-week scheduler lets owners build shifts as drafts, fill the week from each worker's usual schedule or copy last week, and drag shifts between people and days. Publishing emails every worker their shifts. Owners can post open shifts that the first worker to tap Pick up gets, workers can swap shifts with coworkers (with owner approval) and mark when they're unavailable, and the schedule shows estimated hours and labor cost for each day. - [Time off & fix requests](https://hourvy.com/features/time-off-requests) (optional, included): Hourvy lets workers request time off, a correction to a time log (such as a forgotten clock-out) or a shift that was never recorded, directly from their phone. Owners see each request with the recorded times, the requested times and the reason, and approve or decline it with an optional note. Approving a fix updates the time log automatically. Approved time off appears on the schedule and isn't counted as a missed shift. ### Pay right: Overtime, multiple rates, tips and sign-off, then export to your payroll provider. - [Automatic overtime](https://hourvy.com/features/overtime-tracking): Hourvy calculates overtime automatically from clocked hours. Daily overtime starts after a worker's scheduled shift length (or your daily threshold if they have no schedule), weekly overtime starts after your weekly threshold, and overtime hours are paid at your multiplier, such as 1.5×. For workers who earn more than one rate in a week, Hourvy can use the weighted-average "regular rate" method used under the US FLSA, or the rate of the hours worked. An Overtime watch on the dashboard shows who is close to overtime this week. - [Payroll hours & pay](https://hourvy.com/features/payroll): Hourvy calculates gross pay for hourly workers from their clocked hours. It subtracts unpaid breaks, applies your overtime rules, and adds tips, bonuses, reimbursements and deductions. Owners generate a pay period (weekly, every two weeks, twice monthly or monthly), review a draft that updates as shifts are fixed, and approve it, which locks the shifts. Hourvy does not move money or file taxes: you pay workers however you already do and record each payment, including partial payments, so balances stay accurate. - [Tip pooling](https://hourvy.com/features/tip-pooling): Hourvy's Split pooled tips tool divides a tip pool among the workers in a pay period in proportion to the hours each one worked, then adds each share to their pay as a tip. Owners can also add individual tips, bonuses, reimbursements, deductions and advance repayments to any worker in a draft pay period. Workers see every adjustment, with its note, on their own pay screen. - [Roles & pay rates](https://hourvy.com/features/multiple-pay-rates) (optional, included): Hourvy's roles feature lets owners create roles such as Barista or Shift lead, each with a default hourly rate, and give individual workers their own rate for each role. A worker with several roles picks one when clocking in on their phone or at the kiosk, and the shift is paid at that rate. Overtime for workers on more than one rate in a week can use the weighted-average regular rate method. Reports show hours and labor cost by role. - [Timesheet sign-off](https://hourvy.com/features/timesheet-approval) (optional, included): With timesheet sign-off on, every worker who can log in is emailed to confirm their hours when payroll is generated. In the app they tap Confirm, or Something's wrong and explain the problem, which emails the owner. The Payroll screen shows each worker as Confirmed, Problem, Waiting for sign-off or Hours changed after they confirmed. Owners can still approve without every sign-off, and the sign-offs are kept with the pay period as a record. - [Payroll exports](https://hourvy.com/features/payroll-export): Hourvy exports each pay period in several formats: a Gusto file for Gusto's CSV payroll import (hours, bonuses, tips and reimbursements), an "Other payroll provider" CSV with a full breakdown of rates and pay that works with QuickBooks, Xero, ADP and others, and PDF and CSV pay summaries for your records or bookkeeper. ### Stay in control: Labor cost trends, job costing, attendance and smart alerts. - [Labor insights & alerts](https://hourvy.com/features/labor-cost-reports): Hourvy's dashboard compares hours, labor cost and overtime for the current week with last week, and charts the last 12 weeks. The Attendance report shows each worker's on-time, late and missed scheduled shifts over 7, 30 or 90 days. With scheduling on, a Scheduled vs. actual report compares planned and clocked hours and cost. Owners can get email alerts for late workers, approaching overtime, payroll due and auto-closed shifts, plus a weekly summary every Monday. - [Job costing](https://hourvy.com/features/job-costing) (optional, included): Hourvy's job costing lets owners create jobs with an optional client name and budget hours, and workers choose a job when they clock in on their phone or at a kiosk. Workers can switch jobs mid-shift, which ends their time on the first job and starts it on the next. The Jobs page shows hours, labor cost and number of workers for each job over any dates, with a budget bar that turns amber past 80% and red when over budget. - [Team & manager access](https://hourvy.com/features/team-management): Hourvy lets owners add workers one at a time or import many at once from a CSV, invite them by email to set a password (or sign in with Google), and give each a work schedule used for late and missed-shift tracking and daily overtime. Owners can invite managers, who can handle workers, time logs, schedules, requests, payroll and payments but can't see billing or change settings. Inactive workers don't count as seats, and one worker can belong to several businesses with a single login. ## Frequently asked questions ### Pricing & Billing Q: Is there really no monthly base fee or minimum charge? A: Zero base fees, zero minimums. You pay only for active seats: each worker, each manager and you, the owner. A team of 4 workers plus you is 5 seats, so $5 a month. No setup, admin or cancellation fees. Q: What counts as a seat for billing? A: A seat is every active person on your account: each active worker, each manager and the owner. You're billed for the most seats you had during the month, so someone active for 1 day or all 30 costs the same flat seat price for that month. It's based on their active status, not how many shifts they logged. Q: How do I avoid paying for seasonal staff or someone taking a month off? A: Set their profile to "Inactive" before the billing month starts. As long as they stay inactive for the whole month, you won't be charged for them. Reactivate them with one click when they return, with all their history intact. Q: Are scheduling, the kiosk or GPS check paid add-ons? A: No. There are no plans, tiers or add-ons. Every feature, including scheduling, GPS location check, kiosk, job costing, roles, tip pooling and payroll exports, is included in the per-seat price. Optional features are simply off until you switch them on in Settings. Q: What is the founding offer? A: The first 50 businesses lock in $1 per seat per month for life. After that, the standard rate is $2 per seat per month. Either way there's no base fee and no minimum. Q: Do workers pay anything? A: No. Hourvy is billed to your business only. Workers use it free, always. Q: What happens when my 30-day free trial ends? A: Because we don't ask for a credit card to start your trial, you'll never be charged automatically. Near the end of your 30 days we'll remind you to add a payment method if you want to keep using Hourvy. If you decide it's not for you, your account simply pauses. No cancellation calls needed. ### For Your Workers Q: What kind of phone do my workers need? Do they need to download an app? A: Any modern iPhone or Android phone with a web browser. There's nothing to download: workers can add Hourvy to their home screen and it opens like an app. Most people clock in for the first time in under a minute, with no training. Q: Do workers have to clock in themselves? A: No. Most teams let workers clock in from their own phones, but you can also set up a shared tablet as a kiosk with name and PIN, or log and edit hours for anyone yourself from your dashboard. Q: Can workers see their own hours and pay? A: Yes. Each worker sees their hours history, their estimated pay, every tip, bonus or deduction with its note, and whether they've been paid. Q: Can workers request time off or swap shifts? A: Yes, when you switch those features on. Workers can request time off, ask you to fix a time log, pick up open shifts and offer their shifts to coworkers. You approve or decline each request in one place. ### Payroll & Control Q: What stops an employee from clocking in from home? A: Switch on the GPS location check and Hourvy compares where the phone is at clock-in with your work locations. You choose whether to flag off-site clock-ins for review or block them. With the kiosk, you can also take a photo at every clock-in. Every shift is still yours to review before payroll. Q: Does Hourvy calculate overtime automatically? A: Yes. Set your daily and weekly thresholds and multiplier (for example 8 hours a day, 40 a week, 1.5×) and Hourvy applies them to every shift, including weighted-average overtime for workers on more than one rate. Q: Can I edit an employee's hours if they forget to clock out? A: Yes. Edit the start time, end time or unpaid break in a couple of clicks, with a note that's kept in your Activity Log. Hourvy also emails workers who forget to clock out, and can close forgotten shifts automatically after a maximum length you set. Q: Does Hourvy process payments or move money? A: No. Hourvy tracks hours, calculates pay and overtime, and records payment status. You still pay your workers however you already do (cash, bank transfer, check or your payroll provider), then mark it as paid in Hourvy to keep balances accurate. Q: Can I export payroll for my accountant or payroll provider? A: Yes. Every pay period exports as a Gusto-ready CSV, a full breakdown for QuickBooks, Xero, ADP and others, or a PDF or CSV pay summary. ### Getting Started Q: How long does it take to set up Hourvy? A: About 15 minutes. Check your timezone, currency and overtime settings, add your workers (or import them from a CSV), and they can clock in straight away. No hardware, no installation. Q: Does Hourvy work for businesses with more than one location? A: Yes, with no per-location fee. You pay per seat wherever people work. Add each site as a work location for the GPS check, and use jobs to see hours and labor cost for each site. Q: Can I use Hourvy outside the United States? A: Yes. Set your own timezone, currency (including USD, EUR, GBP, CAD, AUD, NZD, INR, ZAR, MXN and PHP) and your own overtime, break and rest rules. ## Pages - [All features](https://hourvy.com/features) - [Pricing](https://hourvy.com/pricing) - [Payroll cost calculator](https://hourvy.com/payroll-cost-calculator): compare Hourvy's cost with other time tracking tools for your team size - [Time tracking for Cafes & Coffee Shops](https://hourvy.com/time-tracking-for-cafes) - [Time tracking for Restaurants & Bars](https://hourvy.com/time-tracking-for-restaurants) - [Time tracking for Retail Shops](https://hourvy.com/time-tracking-for-retail) - [Time tracking for Salons & Spas](https://hourvy.com/time-tracking-for-salons) - [Time tracking for Cleaning Services](https://hourvy.com/time-tracking-for-cleaning-services) - [Time tracking for Landscaping & Lawn Care](https://hourvy.com/time-tracking-for-landscaping) - [Time tracking for Construction & Trade Crews](https://hourvy.com/time-tracking-for-construction) - [Time tracking for Convenience Stores](https://hourvy.com/time-tracking-for-convenience-stores) - [Hourvy vs Homebase](https://hourvy.com/vs/homebase): No per-location fees, no minimum spend.
